Importing your data

Import from a spreadsheet

Import passengers, drivers, vehicles, or facilities by uploading a CSV file in Settings, then Imports & Exports, checking the column mapping, and committing the valid rows.

You can bring your passengers, drivers, vehicles, and facilities into HealthRide from a CSV file. Nothing is added to your rosters until you review the file and commit it, so it is safe to upload and look before anything changes.

Go to Settings, then Imports & Exports. The Upload section opens first.

Under Import type, choose what the file contains: Drivers, Facilities, Passengers, or Vehicles. One file holds one type of record.

Under Source, pick the system the file came from. If it is your own spreadsheet, leave it as Unknown CSV.

Under CSV file, click to upload or drag and drop your file. Only CSV files are accepted. If your list lives in Excel, save it as CSV first (File, then Save As, then CSV).

Click Upload and stage. HealthRide reads the file and takes you to the Review section. Nothing has been imported yet.

Check the Field mapping section. Each HealthRide field shows a dropdown where you pick which column from your spreadsheet fills it. HealthRide guesses the matches and shows a confidence percentage for each. If it suggests a column, you can click Use "column name" to accept it. Choose Do not import for any field you want to leave out.

Click Validate mapping. HealthRide checks every row and shows how many are Valid and how many are Invalid. The Preview rows table shows the first rows with any issues spelled out, such as a missing name.

Click Commit valid rows. The valid rows are imported, and the Created and Updated counts show what was added.

Invalid rows are skipped, not imported

Committing only imports the valid rows. Rows with problems are skipped. Fix them in your original spreadsheet, save it as CSV again, and upload a file with just the corrected rows. If you upload the whole file again, rows that were already imported are added a second time — unless HealthRide can match them by the column mapped to External ID (drivers also match by email). The Created and Updated counts on the review screen show you what happened.

You can return to any past upload from the Review section, where your import history is listed on the left.
