Have a list of passengers from paper or your old system? Upload it once instead of typing each person in.
Steps
In the menu on the left, under Operations, select Passengers.
At the top right of the list, select Import passengers. The Import passengers page opens.
If you’re not sure how to lay out your file, select Download a sample file. It has every column the import reads, like names, phone, date of birth, home address, Medicaid ID and notes for drivers, with one example row.
Drop your file in the box, or click the box to choose it. Then select Upload.
If HealthRide can’t find a column it needs, Match your columns opens. Under Choose a column, pick the column from your file for each field, then select Continue.
On Check your passengers, see how many are Ready to import and how many you Can’t import. Each row that can’t be imported says why.
Select the import button, like Import 42 passengers. When it’s done, you’ll see “42 passengers added.” Select View passengers to see them.
Good to know
- No one is added twice. HealthRide matches each row to passengers you already have by the ID in your file, the Medicaid ID, the name and date of birth, or the name and phone or email. A match fills in what that passenger was missing and counts as updated.
- Texts start off. Imported passengers don’t get reminder texts until you turn them on for each one who agrees. See Turn on reminder texts.
- Link facilities after. The file doesn’t link passengers to a facility. Pick it on each profile, or add them from the facility’s Passengers tab. See Add a passenger.
- You can leave the page. The import keeps going. Past uploads are under Recent imports at the bottom of the Import passengers page.
If something looks wrong
| What you see | What to do |
|---|---|
| Continue stays gray on Match your columns | Pick a column for every field marked Required. |
| A row says “The passenger’s name is missing.” | Add a first or last name to that row in your file, then upload the file again. Passengers already imported aren’t added twice. |
| The same person is now in your list twice | Merge the two profiles. See Merge duplicate passengers. |
