Upload trips from a broker file or spreadsheet

Upload the trip file a broker sends you, or your own spreadsheet, check the rows, and import them as trips ready to dispatch.

When a broker sends you trips as a file, or you keep trips in a spreadsheet, upload the file instead of typing each trip.

Steps

In the menu on the left, under Operations, select Trips. Above the list, select Upload. The Upload trips page opens.

In Payer, choose who the trips bill to, like your broker. If each row of your file names its own payer, choose Several payers.

Check File format. When the payer is a broker, HealthRide picks that broker’s format for you. For your own spreadsheet, choose HealthRide spreadsheet under Other formats. Download a sample file shows the columns each format expects.

Drop your file in the File box, or select the box to choose it. Then select Upload.

If HealthRide can’t find some columns, Match your columns opens. For each box, choose the column from your file that fills it, or Leave empty. Then select Continue.

On Check your trips, look at the counts: Ready to import, Already imported and Can’t import. Each row that can’t be imported says why.

Select Import with the number of trips, like Import 24 trips. When it’s done, you’ll see how many were added. Select View trips to see them.

Broker formats

When the payer is one of these brokers, its format is picked for you: Access2Care, Alivi, American Logistics, Call the Car, CareCar, CTS, GATRA, IntelliRide, LBVA, Modivcare, MTM, MTM (NovusMed), Provide A Ride, Ready Ride, Ride Choice, Ride2MD, Rideline, SafeRide (Basic), SafeRide (Expanded), Tennessee Carriers and WellTrans.

Other formats works with any payer. It has the HealthRide spreadsheet and a few more file layouts that brokers and transit agencies send.

Good to know

  • Nothing is added until you select Import. You can upload a file, look it over, and leave.
  • Uploading the same file twice is safe. Trips already imported are skipped, so nothing is added twice.
  • Finished rides are left out. Rows the file marks cancelled, no-show or completed aren’t imported.
  • New riders are added for you. Riders in the file who aren’t in Passengers yet are added.
  • Uploaded trips are ready to dispatch. They go straight on your schedule, not to Requests, and wait under Unassigned on Dispatch. Recent uploads at the bottom of the page lists your past files.

If something looks wrong

What you see What to do
Your broker’s format isn’t in the list The payer isn’t marked as that broker. The owner opens the payer under Payers and, next to Broker, selects Change.
Some rows show under Can’t import Fix those rows in your file and upload it again. Rows already imported are skipped.
“Add a payer first” or “No payers yet” Every uploaded trip bills to a payer. Add the broker or facility under Payers first, or ask your owner to.
