Connect a facility
A facility is a place like a nursing home or dialysis center that you bill for trips; add one from the Facilities page with Add facility, and its payment terms set the due date on its invoices.
A facility is an organization you transport for and bill — a nursing home, dialysis center, hospital, assisted living home, rehabilitation facility, or clinic. Instead of each passenger paying per trip, you assign passengers to their facility and the facility receives one invoice for their completed trips.
Payment terms live on the facility. Whatever you pick here — due today, or due in 15, 30, or 60 days — becomes the due date suggested on every invoice you create for that facility. You can still change the date on any single invoice before you send it.
Open the Facilities page and click Add facility. The "Add New Facility" window opens on a search screen.
Type the facility's name in the search box. HealthRide finds real healthcare facilities and fills in the name, type, and address for you. If you can't find it, click Enter details manually instead.
Check the Facility Information section. Facility Name is required, and you can adjust the Facility Type and add a Billing Contact Name (for example, the accounts payable person).
Fill in Billing Details. Billing Email and Billing Phone are both required — invoices go to this email.
Under When invoices are due, pick the payment terms: Due today, Due in 15 days, Due in 30 days (recommended), or Due in 60 days. Add any Internal Notes your dispatchers or billing team should know.
Click Add Facility.
Once the facility exists, connect passengers to it. Open the facility from the Facilities page, go to its Passengers tab, and click Add passenger. Search for an existing passenger and click Add to facility, or choose New passenger to create one on the spot. You can also set the facility on any passenger's own profile under "Facility Billing (Optional)".
The facility page also has Trips and Invoices tabs, plus a Create invoice button. Until the facility has completed trips ready to bill, that button reads No trips to invoice. To change payment terms or billing contacts later, click Edit facility.

Add a passenger
Add a passenger from the Passengers page by clicking Add passenger, entering at least a first name, and saving with the Add Passenger button.
Merge duplicate passengers
Merge two copies of the same passenger from the Passengers page with the Merge passengers button, which keeps one profile, archives the duplicate, and moves its trips and billing history to the kept profile.
