Add a vehicle
Add a vehicle from the Vehicles page by clicking Add vehicle and entering its name, type, capacity, and other details, plus an optional photo.
Every vehicle in your fleet gets its own record. You'll use these records when you assign drivers and vehicles to shifts and trips.
Open the Vehicles page from the sidebar, then click Add vehicle.
Give the vehicle a Vehicle Name — this is the only required field. Use something your dispatchers will recognize at a glance, like "Van 1" or "Sedan Blue".
Pick the Vehicle Type: Sedan, SUV, Van, Wheelchair Van, Stretcher Van, Bus, or Other.
Fill in the rest as needed: Make, Model, Year, License Plate, VIN, and Color.
Set the capacity: Ambulatory Seats (how many walking passengers fit) and Wheelchair Spots. If the vehicle can carry wheelchairs, turn on the Wheelchair Accessible switch — this is how HealthRide knows which vehicles can take wheelchair trips.
Choose a Status: Active, Maintenance, Inactive, or Retired. New vehicles usually stay Active. Add any Notes, then click Add Vehicle.
Adding a photo
At the top of the form there's a photo area with a Change Picture button. Click it and choose an image from your computer. The photo shows up next to the vehicle everywhere in the portal, which makes a long vehicle list much easier to scan. You can add or change the photo any time by opening the vehicle and editing it.
Your plan covers a set number of vehicles
If you've reached the vehicle count on your subscription, clicking Add vehicle opens a dialog where you can raise the limit before adding the new vehicle.
After you add it
The vehicle appears on the Vehicles page with its plate, capacity, and status. Click any row to open the vehicle's detail page, where you can edit its details or update its status — for example, switching it to Maintenance when it's in the shop so it doesn't get scheduled.

Drivers join with an invitation code, sign in with a password or Google or Apple, run their trips, and check a vehicle out at the start of a shift and back in at the end.
Add a passenger
Add a passenger from the Passengers page by clicking Add passenger, entering at least a first name, and saving with the Add Passenger button.
