Add a driver

Invite a driver from the Drivers page by sending them an invitation code by email or SMS, which they use to join your team in the driver app.

You add a driver by sending them an invitation code. The driver enters that code in the driver app to create their account and join your team.

Send the invitation

Open the Drivers page from the sidebar, then click Invite driver.

Fill in the driver's Full Name and Email Address. A Phone Number is optional unless you send the invite by SMS. You can also click Add Photo to give the driver a profile picture.

Under Send Invitation Via, choose Email, SMS, or Both.

Click Send Invite. You'll see an Invitation Created screen with the 8-character code (it looks like ABCD-2345). If the email or text doesn't reach the driver, click Copy code and share it with them directly. Click Done to close.

The driver now appears on your roster with the status Invited. The Driver app column shows "Invite pending" along with the last 4 characters of the code and its expiration date. Once the driver accepts, the status changes to Active and the column shows "Linked".

Codes expire after 7 days

Each invitation code works for 7 days. If it expires before the driver uses it, just send a new one — the driver stays on your roster either way.

Resend or revoke an invite

Open the actions menu (the three dots) on the driver's row:

  • Edit & resend invite — update the name, email, or phone and send a fresh code. The old code stops working. If you resend quickly, you may be asked to wait a short moment before sending again.
  • Revoke invite — cancel the current code. The driver profile stays on your roster, and you can send a new invitation later.

Good to know

  • Each driver needs their own email address. You can't invite two drivers with the same email, and the email can't already belong to another HealthRide account.
  • If you try to invite someone who already has a pending invite, HealthRide sends them a fresh code instead of creating a duplicate.
