The costs that do not show up on pricing pages

Broker-integration fees. RouteGenie's published brochure lists broker integrations at about $50 per month each plus a $100 setup fee on its Growth plan. MediRoutes includes one integration on Starter and charges $100 from the second third-party integration. If you work three brokers, ask for the three-broker total in writing.

Per-trip fees on trips that never happened. MediRoutes counts no-shows and most cancellations as billed managed trips. On a high-cancellation payer mix, that adds up.

Training and onboarding. RouteGenie's brochure lists virtual implementation at $1,000 and on-site training from $3,500 to $10,000. Bambi, ZeitRide, and HealthRide state that onboarding is included.

Termination fees. RouteGenie Pro carries a 1-year term with a $1,000 early-termination fee per its brochure. Month-to-month vendors have nothing to charge you on the way out.

Per-vehicle plans charge a fixed amount for each vehicle you run, so your bill stays the same no matter how many trips you complete. Per-trip plans charge for every leg, so busy months cost more. A high-utilization fleet usually saves money on per-vehicle pricing; a fleet with few trips per vehicle can come out ahead on per-trip pricing.

What hidden costs should I watch for in NEMT software?

The common ones are broker-integration fees (RouteGenie lists about $50 per month per integration plus $100 setup on its Growth plan), per-trip fees that count no-shows and cancellations (MediRoutes bills both), setup and training charges, card-processing percentages, and termination fees on annual contracts (RouteGenie Pro lists a $1,000 early-termination fee).
